Zulu8 runs Shopify stores where products can be fulfilled by multiple third-party suppliers, including both API-connected and email-based partners.

As order volumes and supplier relationships grew, manually splitting orders, creating purchase orders, managing artwork approvals, and following up with suppliers became increasingly difficult to scale.

Challenges

  • Orders involving multiple suppliers had to be identified and split manually.
  • API-connected and email-only suppliers required different fulfillment processes.
  • Manual PO creation created risks around discount calculations and order tracking.
  • Personalized artwork required customer approval, with no automated mechanism to hold dispatch.
  • There was no centralized dashboard to track PO status, supplier activity, or fulfillment progress.
  • Adding a new supplier could mean building another custom integration from scratch.

  • Centralize the entire supplier fulfillment process into one system.
  • Bring API-based and email-only suppliers into a unified workflow.
  • Automate accurate PO creation, discounts, tracking, and fulfillment updates.
  • Create a scalable architecture where new suppliers could be added through configuration rather than custom development.

Solution/Approach

We built a centralized Laravel + MySQL fulfillment application, integrated with Shopify OAuth, to replace the fragmented supplier-by-supplier approach.

The solution included:

  • Automated order splitting based on supplier assignment and discount-accurate PO generation.
  • A defined PO lifecycle from Draft → In Progress → Completed.
  • Product-to-supplier mapping and production lead times managed through Shopify metafields.
  • Direct API integrations for connected suppliers and templated Mailchimp communications for email-only suppliers.
  • Per-line-item artwork uploads, customer approval workflows, and dispatch holds.
  • Supplier tracking synchronization, including partial shipments, directly into Shopify fulfillment records.
  • Time-based automation, including 48-hour progress-check emails with supplier-specific conditional logic.
  • A real-time dashboard for PO and supplier visibility, supported by role-based access and an audit trail.

  • 360 hours of development delivered across 8 implementation phases.
